POSITION TITLE : Project Assistant II
SALARY GRADE : SG-12

JOB QUALIFICATIONS :
Education : Completion of two years studies in college
Experience : 2 years relevant experience
Training : 8 hours relevant training
Eligibility : None required
Other Requirements :
  • Must have strong analytical and organizational skills including attention to detail and multi-tasking skills
  • Knowledge in word and spreadsheet software applications is an advantage
  • Must be a team player, communicator, adaptable and self-motivated
  • Excellent communication and interpersonal skills
  • Self-motivated and willing to learn.
  • Can work with minimal supervision
  • Hardworking and has a time management skill
  • With good oral and written communication skills
  • Must have a knowledge in using project management and other office document tools
  • Must be agreeable to following office rules and guidelines
  • Applicants must be willing to work in Quezon City
RESPONSIBILITIES:
Under general supervision and direction, HE/SHE shall perform the following:
  • Assist in the preparation of project's procurement documents.
  • Assist in the filing of project's procurement records;
  • Assist the project management team in all its administrative activities;
  • Assist in the preparation of various reports;
  • Coordinate with other division and projects activities;
  • Receive and release various documents;
  • Coordinate meetings/seminars/workshops, prepare materials, and reservation of venues, catering services;
  • Prepare reports/minutes/matrices/invitations, correspondence/communication materials;
  • Prepare and Monitors Purchase Request for the project;
  • Answer phone calls and transmit fax documents;
  • Keep track/file documents;
  • Collect DTR of Project Staff for every cut-off;
  • Liaise to other government and partner agencies if any;
  • Maximize time for completing tasks assigned and for conducting research on work-related topics;
  • Participate in events and other activities (e.g., exhibits, meetings, and seminars) necessary in the implementation of the Project; and
  • Perform other tasks as may be required by the First Party.
  • Report to the First Party from Monday to Friday and render at least eight (8) hours of work per day or a total of forty (40) hours of work per week or at schedules to be agreed by both parties;
  • Report to work on time
